Meridian RV Rental TermsPayment
The initial deposit paid is non-refundable. Payment will be deducted from your nominated credit card at the time of confirmation.
The balance payable is due 35 days prior to pick up. This payment will be deducted from your nominated credit card.
The supplier accepts wire transfer as well as credit card payment. There is a 2% surcharge for all credit card payments.

After confirmation we allow the addition of extra items to bookings at no additional charge, and, providing there is availability, we allow one category or date change. The total number of days booked must be the same, or no more than 3 days less than the original booking. For all other date or category changes, there would be a service fee of $50 per amendment.
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases, this will cover any losses incurred if you are forced to cancel your booking.
Limited Risk ‘CDR’ Insurance, Luggage Storage, Back-up Camera, TV, Generator, Travel to the United States.
Please note: Meridian RV will not offer refunds or on-the-road repairs for back-up cameras, generators, television sets and awnings that malfunction while on the road.
Customers can select if they want ‘Convenience Kits’, which include towels, linens and kitchen equipment.

Minimum Number of Rental Nights
Minimum 7 nights (14 nights for all A Class rentals) required. Renter can book for less, but must still pay for 7 (14 nights for all A Class rentals), with the stipulation that the pick-up and drop-off dates must be confirmed at time of booking and cannot be altered. Northern Rentals, Early Bird Discounts and All Inclusive Package require a minimum of 14 nights.
Driver Age Requirements
Renters must be between the ages of 25 and 75. Passengers 21-24 years of age can drive, but only if the principal driver/renter is 25 years of age, or older. Anyone listed on the contract as a ‘driver’ must be physically present at pick up, or they will not be permitted to drive. For all drivers, a national driver's license from their home country is required (original license). For translation purposes, customers with a driver's license in a non-Roman alphabet will be required to obtain an international driver's license to present at pick up along with their national driver's license. Drivers with 'N' (New) or 'L' (Learner) designation are not permitted to drive our units.
All drivers must be present to sign Terms & Conditions and insurance papers at the time of pick-up. The 'principal driver' is the renter, and he/she must be physically present at both pick up and drop off to sign all paperwork. The renter must be the one that provides a credit card for the security deposit at pick up (MasterCard or Visa only). No exceptions to these conditions. At pick-up Meridian RV reserves the right to refuse a rental to a driver not deemed fit to handle an RV.
Customers Taking Ferries
We recommend that customers travelling to Vancouver Island and the Sunshine Coast book no earlier than a 19:00 sailing. Pick-up appointments can take up to 2 hours, it's usually a 60 to 90-minute drive to the ferry, and BC Ferries requires all passengers with reservations to arrive at the terminal at least 30 minutes prior to departure, or they can lose their reservation.
Customer Check-In Form
We ask all renters to complete a Customer Check-In Form, which will be sent with their confirmation at the time of booking (can also be downloaded on the website). Forms can be emailed or faxed to Meridian RV at the renter’s earliest convenience, but we would prefer no later than 30 days prior to their first rental day.
Required First Night in Hotel
We require all renters coming in on overseas flights to spend their first night in a hotel, therefore units cannot be picked up until their second day in Canada. This is for safety reasons.

Closed Sundays and Holidays Our regular pick-up tme is 11:00-15:00. Our regular drop-o? tme is 08:30-10:00 (the drop-o? shutle departs Meridian RV at 10:30am). Late drop-o?s are subject to a $100 per hour late fee. Absolutely no pick-ups or drop-o?s possible afer 15:00.
Meridian RV does not offer pick-ups or drop-offs on Sundays or holidays. Here is a list of public holidays:

RV Pick-Up Appointment
RV pick up for rentals is between 11:00 and 15:00. In order to avoid long waits at our staton, customer pick-up tmes are pre-determined by our rental sta? and cannot be altered. All customers should be prepared to pick up their units at their advised tme. We ask renters to call our staton either the day before their rental (between 15:00 and 16:30) or the morning of their rental (between 08:30 and 09:00), to receive the pick-up appointment time (as well as transfer time if applicable). We are closed on Sundays and Holidays, so on weekends/long weekends, customer may need to call us a day or two earlier Parking at Meridian RV
Customers needing to park their cars overnight at Meridian RV must remember to give their keys to one of our rental sta? so they can be moved to our back parking lot; no overnight parking is permited in the front lot.
RV Rental Returns
Rental returns take place between 08:30 and 10:00am at our station in Port Coquitlam on a first-comefirst-serve basis. All renters must be physically present at drop off and cannot send someone in their place to close their contract. Renters are not permitted to leave their units in the Meridian RV parking lot. We also ask that units are not parked and left on the road in front of Meridian RV, as it puts the unit at risk of damage and is prohibited by the city (and will therefore be subject to a $500 charge by Meridian RV). The airport/hotel shuttle departs every morning at 10:30am.
Since late returns are both disruptive to daily procedures in our rental department and an inconvenience for customers waiting to pick up their motorhomes, late fees are in effect for any units that have not been dropped off by 10:00 in the morning. Late customers will incur a charge of $100 per hour until the unit is returned. They will also be asked to pay any costs that Meridian RV incurs if it becomes necessary to compensate another customer waiting at the station for the unit to be dropped o? (meal costs, hotel nights etc.) For logistical reasons, no units can be returned after 15:00, no exception. Customers that don’t drop off by 15:00 must be at the station at 08:30 the following morning to return their unit. Further charges will apply if the unit still isn’t returned at that time. With all late returns, transfers are considered void.
We allow early drop-offs, but will not offer a refund for lost days. If customers plan to drop off early, we recommend they contact Meridian RV in advance to advise our rental staff. Units dropped off during our regular drop-off period (between 08:30 and 10:00) will be checked in on a first-come-first-serve basis. After 10:00 pick-up appointments are scheduled, so customers dropping off early would have to wait until a rental clerk is available to check in their unit. No units will be checked in after 15:00, no exceptions. If a customer dropping off early has a transfer booked, they must check in between 08:30 and 10:00, or their transfer will be considered void. They must also contact Meridian RV at least 24 hours in advance of dropping off so that seats are reserved for them in the shuttle.
Potential Charges at Drop-Off
• Failure to bring unit back with a full tank of gas ($50 refueling fee plus cost of gas)
• Failure to empty storage tanks ($25 charge per tank)
• Failure to refrain from smoking in unit ($250 charge)
• Failure to notify Meridian RV of pets travelling along ($500 charge)
• Failure to bring unit back clean inside/outside ($100-300 charge, depending on condition of unit)
• Failure to return unit in the presence of a rental clerk
($500 charge if customer parks their unit on our lot or surrounding area and leaves without closing their contract with a rental clerk)
Please note that we cannot hold lost items indefnitely, so unclaimed items will be kept no longer than 2 weeks afer drop-o?. Customers wishing to have items shipped to their home overseas should make arrangements themselves through Fedex and then advise Meridian RV what day the item will be picked up.
Transfers to/from our Port Coquitlam station are available from downtown and airport hotels only (no private residences, Airbnb or hostels). The cost is $130 round-trip, and they must be arranged in advance. We transfer customers between 09:00 and 14:00 to our station, and since our shuttle has a schedule to maintain, customers must be prepared to be picked up at a pre-arranged time. Transfers are subject to availability and space is limited. After drop off, the Meridian shuttle will transfer customers to
either the airport, or a downtown or airport hotel. Our shuttle departs Meridian RV at 10:30, so customers with early flights should arrange their own transportation to the airport. All customers travelling with wheelchairs or scooters should advise Meridian RV accordingly upon booking. When travelling with children, proper child seats are required and must be provided by the renter (forwardfacing child seats can be rented through Meridian RV when booked in advance). Due to limited storage in our shuttles, we allow a maximum of 1 suitcase (or equivalent) and 1 carry-on bag, per person. No transfers will be provided for bikes (or bikes in carrying cases), snowboards, large equipment or oversized luggage.
TRANSFERS BEFORE PICK UP:
Transfers to our station take place between 09:00 and 14:00. Our shuttle has a schedule to maintain, therefore customers must be prepared to be picked up at their advised time. Any customer that misses their shuttle will have to make their own way to our station. Please note that sightseeing will no longer be available upon request during transfers.
TRANSFERS AFTER DROP OFF:
After drop off, the Meridian shuttle will transfer customers to either the airport, or a downtown or airport hotel. Our shuttle departs Meridian RV at 10:30, so customers on early nights will have to arrange their own transportation to the airport.
Children Travelling Along Meridian RV must be advised if children are travelling along in one of our motorhomes and what their ages are. Our motorhomes come equipped with lap belts only (not three-point seat belts). A tether is available for securing child seats in all C-Class motorhomes (but not A Class and B Class). Only forward-facing child seats (for toddlers and preschool-aged children) can be safely installed in our C Class units, one per unit. Rear facing car seats (for infants) and booster seats are not permited be cause they cannot be atached to the tether. Child Seat Rentals
A limited number available on request only (see rates) and they must be requested at the time of booking. Renter responsible for installation.
In 2019 we will no longer allow pets in our units.
Instructions Before Departure
Pick-up appointments take 90-120 minutes. During this time one of our rental clerks will fill out paperwork with the renter, review insurance information and give them a demonstration of their rental unit. If necessary, a test drive can be arranged. Before leaving the station, each renter receives a rental guidebook and other helpful information for their trip.
US Border Crossing
There is no additional charge for travel to the United States.
As of the 2019 rental season, northern travel will no longer be permited. Renters can only travel as far north as Hwy 16 between Prince Rupert and Prince George, and Highway 97 between Prince George and Fort St. John.
No travel permitted north of Hwy 16 and Hwy 97 (north of Prince Rupert, Prince George and Fort St. John); to Mexico; to any outdoor festivals, events or concerts (including Burning Man); to Death Valley, California, from June 1st to August 31st; on roads designated on official provincial or state maps as ‘other roads – gravel or dirt’. Insurance coverage and the Limited Risk 'CDR' Plan are void if traveling in restricted areas without authorization, and the renter would be subject to a $2,000 penalty. All repairs, damages and delays caused by mechanical breakdowns in restricted areas are the responsibility of the renter.
Required Security Deposits
At pick-up, renters are required to pay a Security Deposit in the amount of the deductible for whichever insurance coverage they have
requested. The premiums for Basic Insurance are included in all Meridian RV rates. Security Deposits are as follows:
Basic Insurance: $3750 Security Deposit
Limited Risk ‘CDR’ Insurance: $750 Security Deposit
We accept only MasterCard and Visa credit cards for the Security Deposit––no American Express, cash, wire transfers, debit cards or pre-paid credit cards. The Security Deposit will be refunded at drop-off provided unit has been returned on time, there is no damage, it’s clean on the inside and out, all equipment is present and undamaged, the holding tanks are all empty, the gas tank is full (immediately upon arriving at station for pick-up), and no damage claims have been made. Credit cards used for security deposits should be valid for at least six months afer customer drops of unit. Please note that in all cases the exchange rate difference between the deposit given at pick-up and the refund given at drop-off is the renter’s responsibility.
Basic Insurance/Limited Risk ‘CDR’ Insurance
Meridian RV units are insured for $5,000,000 Third Party Liability coverage (public liability and collision). Premiums for this Basic Insurance are included in all rental rates with a deductible of $7,500 per occurrence (security deposit of $3,500 at pick-up). This deductible of $7,500 is further reduced by Limited Risk ‘CDR’ insurance, which is included in our nightly rates. Damage Not Covered By Insurance or Limited Risk ‘CDR’ Plan
If a renter causes damage to their unit that is not covered by insurance, Meridian RV will not refund their security deposit on drop-o? day and will hold either the maximum deductble amount or predicted estmate amount —whichever is higher—untl the ofcial estmate for the cost of repairs has been determined. This can take up to 2 business days.
In all situations below Meridian RV Insurance would be considered VOID and the renter responsible for 100% of costs incurred:
The possibility of mechanical failure or breakdown is an inherent risk associated with the rental of an RV. Any repairs (or replacement parts) costing less than $100 do not require prior authorization of Meridian RV before servicing. For costs in excess of $100, please contact our station first. Reimbursement will be provided at drop-off only when both a receipt and the part replaced are presented to one of our rental clerks. In all cases, the renter will not be reimbursed for loss of time, transportation costs, inconvenience, food loss in vehicle, or any other expenses resulting from repairs to unit. Please note that Meridian RV will not offer refunds for malfunctioning back-up cameras, generators, television sets and awnings, as these are added extras we provide to the customer at no additional charge.
Any accident, damage to vehicle, vandalism, fire or theft, must be reported to Meridian RV and the Police within 24 hours of occurrence. Please note that we require a written accident report (found in the customer’s rental guidebook) and a police report file number. In the event the police do not file a report, the renter has to show proof they reported the incident to authorities. For this purpose a written note or business card is sufficient. Meridian RV also requires pictures of the damage to the unit and accident scene, in order to assist in determining the circumstances of the incident. Failure to provide this information will render the insurance null and void.
If a renter is involved in an incident, Meridian RV will hold their deposit for the maximum deductible amount according to their insurance coverage, and for a period ranging from 1-6 months in duration. Please note that only the insurance company can expedite the claim; it is out of Meridian RV’s hands at this stage. The final cost to the customer will be the maximum deductible charge (as per insurance purchased), where expenses include––but are not limited to––damage to the Meridian RV vehicle, damage to third party property, injury claims, towing charges, storage fees, insurance adjuster fees and legal fees. In the event the unit is stolen or rendered inoperable, our insurance does not cover accommodation, transportation or vehicle replacement costs. Please note that for all insurance claims (including private insurance), customers will be charged a fee of $100 to cover the cost of administratve services provided by Meridian RV in handling their claim.
Responsibility of Renter
When on the road we require renters to exercise prudence in handling and operating our rental vehicles. Misuse and the failure to exercise due care and attention in their operation may result in charges for incurred damage. Please note the customer is also responsible for routine on-the-road maintenance, which includes checking tire pressure, engine oil, and coolant levels, at each refuelling. Renters will be held responsible for damage that results should regular maintenance be neglected.
RV Availability & Upgrades
On rare occasions––when due to unforeseen circumstances a unit suddenly becomes unavailable––it may be necessary to offer a customer a unit other than the one originally booked. In such a situation Meridian RV reserves the right to substitute the unit with one of equal or greater value. Any subsequent expenses (gasoline, ferry costs, etc.) are the sole responsibility of the renter. Should a downgrade be necessary, Meridian RV’s only obligation would be to refund the customer the cost difference between the two vehicles. In the event the renter refuses to accept the vehicle offered, no refund will be offered. Terms of booking on this website
The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.
When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.
While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. If you encounter issues with the vehicle whilst on hire, you MUST report these issues directly to the relevant supplier at the earliest possible time. This will allow the supplier to remedy any issues and minimise any inconvenience to you. If you fail to report any vehicle issues during your rental, it is likely that compensation will not be offered. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.
Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 2% credit card or debit card surcharge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Motorhome rental alterations (all charges stated in local currency): 25.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.
